CY2015 ICH CAHPS Spring Survey Data Submission Deadline: 3 Week Reminder

Please note that data collection for the 2015 ICH CAHPS Spring Survey ended yesterday, July 14, 2015. The deadline for submitting data files from the 2015 Spring Survey is at 11:59 PM on Wednesday, August 5, 2015. The Centers for Medicare & Medicaid Services (CMS) will not accept any data files after that date and time.

Remember that ICH CAHPS Survey data files will undergo validations at two points in time; during transmission and within two hours after they are submitted. We strongly encourage all survey vendors to submit their files as early as possible so that they will have adequate time to correct any problems identified and re-submit the files before the deadline. Survey vendors can submit a file for a CCN as many times as needed; however, keep in mind that each time a file for a CCN is re-submitted, it overwrites the file that was submitted previously.

Important Points to Remember:

• You must submit an XML data file for each CCN for which the Coordination Team provided a sample file, even if none of the sample patients sampled for that CCN responded to the survey.
• The XML file that you prepare for each CCN must contain information about each patient that was sampled for that facility. Please remember that you MUST NOT include any data about patients that were incorrectly sampled as a result of the sampling issue on the XML file.
• The SID numbers included on each XML file must match those provided in the sample file that you received for each CCN. However, do not include the SID Number and any data for any cases that were affected by the sampling issue on an XML file.
• Data files must pass both an initial validation checks and the "secondary" validation checks.
• Since CMS will not accept any files after the data submission deadline, make sure you check your data submission reports before the data submission deadline to verify that all of your files were accepted.
• If a file failed the validation checks, review the data submission report to determine why it failed and correct the data problems noted on the data submission report. Re-submit all corrected files before the data submission deadline.
• Remember that if you re-submit an XML file, it overwrites the file that was previously submitted.
