CY2014 ICH CAHPS Fall Survey Data Submission Deadline: 3 Week Reminder

The practice period for submitting ICH CAHPS test files ended on Monday, January 5, 2015. ICH CAHPS Survey vendors can now begin submitting “real” ICH CAHPS Survey data files to the ICH CAHPS Data Center.

The deadline for submitting data files from the CY2014 ICH CAHPS Survey is at 11:59 PM on Wednesday, January 28, 2015. The Centers for Medicare & Medicaid Services (CMS) will not accept any data files after that date and time.

Remember that ICH CAHPS Survey data files will undergo validations at two points in time; during transmission and within an hour after they are submitted. We strongly encourage all survey vendors to submit their files as early as possible so that they will have adequate time to correct any problems identified and re-submit the files before the deadline. Survey vendors can submit a file for a CCN as many times as needed; however, keep in mind that each time a file for a CCN is re-submitted, it overwrites the file that was submitted previously.

Important Points to Remember:

• You must submit an XML data file for each CCN for which the Coordination Team provided a sample file, even if none of the sample patients sampled for that CCN responded to the survey.
• The XML file that you prepare for each CCN must contain information about each patient that was sampled for that facility.
• The SID numbers included on each XML file must match those provided in the sample file that you received for each CCN.
• Data files must pass both an initial validation checks and the “secondary” validation checks.
• Since CMS will not accept any files after the data submission deadline, make sure you check your data submission reports to verify that all of your files were accepted.
• If a file failed the validation checks, review the data submission report to determine why it failed and correct the data problems noted on the data submission report. Re-submit all corrected files before the data submission deadline.
• Remember that if you re-submit an XML file, it overwrites the file that was previously submitted.
